What cities does RSVP service?
We service Fort Smith, Eastern Oklahoma, Northwest Arkansas (Fayetteville, Rogers, Springdale, Bentonville), and the Arkansas River Valley.
When was RSVP Event Rentals established?
We were established in November 2013. Many Fort Smith residents will recognize the friendly, smiling faces of our staff from the former Phoenix Expo Trade & Event Center.

How many people can RSVP serve at once?
We can serve up to 2,200 people at once. What’s even more, we house enough party rental inventory to put on five separate events!

We have a wide selection of inventory, including clean linens and clean chairs. Our staff is professional and friendly, always willing to help. We also show customers the latest trends in what they can do with our products, and are happy to look at customers’ Pinterest boards to help them bring their board to life. Customers also enjoy our on-time delivery and feeling like they get the attention they deserve.
When should I reserve the products I want to rent?
As soon as possible. Early planning ensures product availability. A reservation will confirm the items you need will be available on the day you request.
How long is the rental period?
Most prices are a one-time charge based on a per-event fee for up to a three day time period. Beyond this, additional charges are applied. We do charge for the entire time the products are rented, whether the equipment is used or not. Items may be rented for longer periods of time.
How do I pay for the party rental items?
Full payment is due before items are released to the customer. An advanced payment on the reservation ensures the items you choose will be held for you for your specified date. Credit or debit cards are required to rent items. Other payments can be accepted upon return. We accept American Express, Discover, MasterCard, and Visa.
Can I make changes to the rental products I order?
Changes should be made 72 hours prior to your event. In some cases, certain items may be specially ordered just for your event, and require a two-week advanced notice to cancel. Additions to your order are always welcome, subject to availability. We always do our best to accommodate your needs.
What does RSVP charge for pick-up and delivery?
The pick-up and delivery fee is based on the size of the order, the distance we travel to your event, and any out-of-the-ordinary requests.
When will the products I order be delivered to my event?
Because our trucks make many stops during the day, our delivery schedule is made in advance. You may request AM or PM delivery/pickup times. We generally are able to accommodate specific time deliveries for those with special circumstances.
Does RSVP set-up or take-down items that are delivered to my event?
Set-up and tear-down services are available for an additional fee. If you would like to add this service to your order, arrangements must be made in advance. If you order tents for your event and purchase set-up/tear-down services, RSVP will set the tents up and take them down for you.
What is my responsibility for returning items to RSVP?
All items should be returned as they were received. Tables and chairs should be folded, stacked, and ready for pickup. Dishes and glassware should be cleaned and re-packed in the containers in which they were received. Please ask for specific cleaning instructions from your RSVP rental coordinator.
What happens if an item(s) is broken, damaged, or missing when I make the return?
We charge for all missing, broken, and damaged items at full replacement cost. To relieve the renter of accidental damage to rented items, we offer an optional equipment protection plan. The fee for the protection plan is 14% of the total rental order. All damaged or broken items must be returned to the rental center to be covered under this plan. Missing items will not be covered. This optional plan must be purchased in advance and is non-refundable.
What is RSVP’s cancellation policy?
Cancellation fees apply for complete cancellation or a decrease of 25% or more of the order total. The renter authorizes the Lessor to charge their credit card for any cancellation fees without further communication. If an order is paid in full and the order is canceled 60 days before the delivery date, 50% of the total charges will be credited to the renter in form of an in-store credit. 50% of the total charge shall be forfeited by the customer. No deposits or partial payments are refundable- Once the equipment is loaded for delivery on the day of the event, there will be no refund for cancellation.
What should I do with the linens prior to returning them?
Before removing linen from the tables, make sure there’s no food, glitter, etc. Place Linen in laundry bags that are provided by RSVP Event Rentals.
What happens if my order is not returned on time?
It can result in a late fee.
Do I need to wash rental items (items that hold food/drink)?
No need to wash items that hold food or drink. We recommend you return them in our laundry bags and not in plastic bags – which can cause molding. This can result in damaged linens and there would be a charge for damaged linens.
What if an item I rent from you doesn’t work?
We recommend you inspect your order upon delivery and if for any reason the item does not work, we will replace it. If we don’t have the same item, we will replace it with a similar item.
Do you rent tents?
At this time we do not rent tents.
How many tables and chairs will I need for my event?
It depends on the number of guests at your event and the size of tables you would like to use. Also, keep in mind to count the number of people at your head table.
Here are two examples to give you an idea:
148 Guests and a head table for 8 people and you plan on 60” round tables that seat 8 people to a table you would need- 18 round tables and 2 -8’ ft rectangle tables for the head table. 152 chairs.
148 Guests and a head table for 8 people and you plan on 72” round table that seats 10 people to a table you would need – 14 round tables and 2 -8’ft rectangle tables for the head table. 148 chairs.
What size dance floor should I rent?
- 30 dancers 12ft x 12ft
- 50 dancers 15ft x 15ft
- 70 dancers 18ft x 18ft
- 120 dancers 24ft x 24ft
- 200 dancers 30ft x 30ft
How many dishes do I need for my event?
If you are having a buffet or sit-down dinner you should always order a few extra in case of extra guest or kitchen staff accident.
